Indexing e-mail

Ever spent hours searching for an e-mail you know you sent 2 weeks ago?

Ever dreaded returning to the office after being away more than a day because your e-mail will be out of control?

Whilst ISYS can't do anything for the number of e-mails you receive every day, it can take the pain out of filing them and trying to find them again.

One feature of ISYS, often overlooked, is the ability to index e-mails. ISYS can index a range of different e-mail types including Microsoft Outlook, Exchange, Outlook Express, Eudora, Netscape, and more.

Configuring ISYS to index your e-mails is simple. Select the 'E-mail Rules' icon, like so.

To create a new rule, click the new email indexing rule button or press Ctrl+N.

Click on the email client that contains the messages that you wish to index. If you use multiple email clients, you can run this wizard multiple times to specify rules for each client.

Once you have selected the type of e-mail you have, choose which mail folders you wish to index.

You may wish to index your e-mail attachment in addition to your e-mail, to do this simply check the Index attachments as well as e-mail contents box at the bottom the window.

Now all that remains is to update the database.

An important fact to remember is that e-mail indexes are for individual users only, expect for Public Mapi using Exchange servers..

Quick Tip

Standard Internet e-mail folders are found in the following locations by default.

NB username means that the program will attempt to create a folder with your name (Netscape may use ‘Default’)

Eudora
C:\Eudora\
Netscape mail
(Netscape 3)
C:\Program Files\Netscape\Navigator\Mail
Netscape Communicator mail
(Netscape 4 – 4.5)
C:\Program Files\Netscape\Users\username\Mail
Microsoft Internet Mail
(Microsoft Internet Explorer 3)
C:\Program Files\Internet Mail and News\username
Outlook Express
(Microsoft Internet Explorer 4)
C:\Windows\Application Data\Microsoft\Outlook Express\Mail


Quick Tip

One of the most frequently asked questions I get is: how can I search for C++?

This is a tricky one, you will need to:

Remove the letter C from your common word list, by choosing "Tools" in ISYS Utilities then "Common Word List" and find the entry for C and Remove it by selecting the "Delete" button. Click on the "Save" button to save the changes. You will get a message telling you that a re-index will be necessary.

Add the + sign to Significant Characters (You will see this in "Tools", "Index Options", "Advanced" tab). Just add the + sign after the numerals already displayed.

Now you can perform your reindex. In Utilities choose the "Actions" menu then "Reindex" - You will get a message telling you that this may take some time and it will completely rebuild your index.

We are now ready to query the re-indexed ISYS index. To perform the Query you will need to enter C+++ (that's right 3 + signs, the + sign is important to ISYS so we need to add an extra one)
